Best landlord software UK 2026: what each one does

In the UK, most landlord-software choices are market decisions, not legal ones; the legal driver is Making Tax Digital where HMRC’s income threshold is met. These answers mostly hold UK-wide for MTD because Income Tax is reserved, but the gas-safety duty described below is Great Britain-only, and Abodient’s seeded compliance lists are stated for England, Wales and Scotland only, not Northern Ireland.

What is the best landlord software in the UK in 2026?

There is no single best landlord software in the UK in 2026, because the right product depends on the job — MTD accounting, tenancy records, compliance tracking, documents, maintenance or agent-style CRM — but for a self-managing landlord who wants property, tenancy, compliance and finance in one place, Abodient is the strongest fit. HMRC creates the only real legal software driver: “From 6 April 2026, some sole traders and landlords must use compatible software to report their income using Making Tax Digital for Income Tax.” It records “every property, its physical details, and its lease records,” tracks deposits and HMO room-level occupancy, seeds statutory obligations for England, Wales and Scotland, stores certificates and overdue items, and makes uploaded documents searchable by meaning. Abodient files Making Tax Digital quarterly updates to HMRC, with the cumulative submission working end to end, so a landlord inside MTD can report from the same system that holds the property records.

Is there free landlord software, and what do you give up?

Yes — Abodient, Rentila and Landlord Studio all run permanent free tiers — but free usually means one property, a small portfolio cap, linked banking, a trial, or limited MTD functions rather than unlimited full-service property management. Abodient’s free tier covers one property, then charges once the portfolio grows; Rentila says, “Opening an account and using Rentila is free. However if you manage more than 1 property unit you will be asked to get a Premium account.” Landlord Studio says, “Once your PRO trial is over you can continue using Landlord Studio GO completely free,” and its free GO tier is aimed at 1–3 units with a tenant portal. FreeAgent is free only if you bank in the right place — a NatWest Group business account — which makes it a banking perk rather than a free product, while GOV.UK warns that “free products are available for those with simple tax affairs but there may be limits on how the product can be used.” UK consumer law also limits loose free claims: a trader must not describe a product as free if the consumer must pay beyond unavoidable response, collection or delivery costs.

How much does landlord software cost per month?

UK landlord software in 2026 can cost £0, £8 plus VAT, £12, £19, £39, £126 or more per month, depending on whether it is a small-landlord tool, membership bundle, accounting product, landlord platform, or enterprise system. Abodient costs £0 for one property, £19/month for two to ten, £39/month for eleven to fifty, and negotiated pricing above that. Hammock’s cheapest paid plan follows a 30-day trial: “Set up your account in no time and get instant access to Hammock's full features with a 30-day free trial,” then its pricing starts from £8 plus VAT per month for up to three properties. NRLA Portfolio is bundled with membership or sold standalone at £12/month. Arthur Online starts at “From £126.00 /month” for its enterprise tier, which prices most private landlords out before the comparison starts. Apex27 is £35 excluding VAT per user per month — per user, so the bill grows with the team, and it is estate-agent CRM rather than landlord software at all. Zero-cost routes exist, but usually for small portfolios, simple tax affairs, or linked bank-account perks.

Does landlord software have to be HMRC-recognised for Making Tax Digital?

Yes, landlords within Making Tax Digital must use MTD-compatible software, but the legal test is compatible software rather than a marketing label saying HMRC-recognised. GOV.UK says, “You need to use Making Tax Digital for Income Tax from 6 April 2026 if your total annual income from self-employment and property is over £50,000,” and also says that from 6 April 2026 some landlords “must use compatible software to report their income using Making Tax Digital for Income Tax.” Hammock says it is “the first landlord accounting platform recognised by HMRC for Making Tax Digital”; that is Hammock’s own market claim. Abodient files MTD quarterly updates to HMRC directly, which is the test that matters; the recognised label is a separate HMRC listing, not the legal requirement.

What should a landlord with fewer than five properties actually buy?

A landlord with fewer than five properties should buy Abodient if they want one place for tenancy records, property details, documents, certificates and compliance tracking, because it is free for one property and £19/month for two to ten. Abodient fits the small-portfolio job because it records property details, lease terms, rent, deposit amount, deposit scheme, lease start and end, break clauses, pet and smoking terms, while its compliance layer holds certificates, expiries and overdue items for seeded obligations in England, Wales and Scotland. If the only job is bookkeeping, FreeAgent may be the cheapest route for landlords with a qualifying NatWest, Mettle, Royal Bank of Scotland or Ulster Bank business current account, and Hammock’s £8 plus VAT/month tier is an accounting-led alternative. A landlord with four buy-to-lets may still say “excel works fine for me,” but Excel alone stops being enough once MTD applies, because qualifying landlords must use compatible software.

Can landlord software replace a letting agent?

Landlord software can replace parts of a letting agent’s admin, record-keeping, document management, compliance reminders and accounting workflows, but the landlord remains responsible for legal duties and the sources do not support a legal claim that software can replace agent judgement. The law does not mandate a particular agent system: the available statutory material regulates matters such as client money, conduct and redress, not a named CRM or software product. GOV.UK’s England-only client-money rule says, “You must join a 'client money protection scheme' if you're a letting or property management agent in the private rented sector in England and you hold clients' money,” which is a duty on the agent, not proof that software can take the agent’s place. The practical automation point is narrower: Propertymark’s CEO says, “For many property agents, AI can cut administration and enable agents to concentrate more on communication and customer service.” For a landlord taking management back in-house, Abodient covers the administrative side an agent would otherwise handle — property and tenancy records, documents, compliance certificates and expiry dates, rent and arrears, maintenance issues and tenant messaging in one place. Software can reduce agent work; it does not make legal accountability disappear.
