The checkout list

The steps for moving a tenant out, from forwarding address to deposit and the next tenant.

The checkout list is what you work through when a tenant is leaving: the last day, the keys, the final rent, the deposit and who moves in next.

When it appears

It appears once you record a tenant's notice or an agreed ending in End tenancy, for a home with a last day from 1 October 2026. A chip on the tenancy card reads Tenancy ending 30 Nov · 9 to do. After the tenant has gone, an amber line says moved out and how many steps are left. Past tenancies still link to it.

The four steps

  1. Before they leave — the notice, a Forwarding address, and Book check-out inventory.
  2. Move-out day — the Check-out inventory against the check-in, Keys back and Meter readings.
  3. Money back — Final rent, Agree deductions from the deposit, and Deposit returned.
  4. Handover — Council tax, Energy and water, the leaver's portal, and Next tenancy.

Final rent ticks itself when the payment is in Finance. Keys back counts the sets against what you handed over at move-in.

The deposit

Agree deductions with the tenant in writing. If you cannot agree, choose We can't agree, and either of you can raise it with the scheme for free. In England and Wales the deposit goes back within 10 days of agreeing the amount, and the row shows that deadline. Scotland has no landlord deadline. A company let has none either: return it as the agreement says.

Next tenancy

The last row says Nobody lined up yet until you select Set up next tenancy. The ending or renewing article covers it.

Skipping and dismissing

Most rows can be skipped. Dismiss this checklist hides it and marks nothing. The leaver keeps a read-only portal for their final statement.
