One warning, two outcomes — renew it, or close it out without losing the history.
When a tenancy nears its end there are two outcomes: the tenant stays, or they leave. Both start on the property's Tenancy tab, on the current tenancy contract — which carries End tenancy and + New tenancy side by side.
We warn you before a tenancy ends, so this is a decision rather than a surprise.
There is no separate "renew" button. To continue a tenant on fresh terms, select + New tenancy and fill in the form again, with the tenant's name and the new dates. A new tenancy that starts today or earlier ends the current one in the same step. If the dates overlap, we ask whether to replace the current one or archive it and start new.
The old term stays in the history, so you can see what was agreed and when it changed. To carry on with no change at all, a rolling tenancy runs on.
End tenancy opens a short dialog that asks how the tenancy is ending:
Either way the final period is charged only for the days the tenant actually stays. We work out the daily rate and the rent for those days, and show what is left owed — or, if they had paid ahead, what is credited back. With the end date in the future you select Record notice. When it is today, End tenancy closes it there and then.
A box says Notice recorded. It offers See tenancy checkout list and Set up next tenancy, or Not now. Both stay on the card to come back to. The checkout list covers the first.
While notice is on file, + New tenancy is replaced by + Set up next tenancy, because the current tenant is still in place. Select it and answer Who moves in next: the tenant's name, their email if you have it, Moves in (from the day after the leaver goes), rent and deposit.
How it ends is a choice here. Rolling — no end date (recommended) is the default, because tenancies starting from 1 May 2026 in England have no fixed term. Fixed term asks for an end date. Save and see the checklist opens their move-in checklist. The next tenant takes over on the start date, and the leaver's record is untouched.
The property becomes vacant, rent tracking stops, and the tenancy, its payments and its documents are kept. The tenant keeps a read-only portal for their final statement.
Ended one by mistake? At the foot of the Tenancy tab, [number] past tenancies opens the list, and each carries Reopen this tenancy. It is only offered while the property is vacant.
