Connecting Xero and FreeAgent

Send your property income and costs to Xero instead of re-typing them.

Abodient connects to Xero and FreeAgent from Settings → Integrations, so your rent and costs reach your accountant's books and their entries reach you.

The Sync with Xero dialog: choose whether Abodient and Xero sync both ways, bring in from Xero, or send to Xero

Nothing moves until you have checked it. You confirm each item in the Sync window first.

Choose what to sync

When you click Connect to Xero or Connect to FreeAgent, you pick one of three. You can change it later with the Settings button on the connected card.

Connect and set up

  1. Open Settings and choose Integrations.
  2. Click Connect to Xero or Connect to FreeAgent.
  3. Pick a direction and click Continue to Xero →.
  4. Sign in to Xero and approve the connection. You come back to Abodient.
  5. Under Match categories, check the pairings, then click Continue.
  6. Under Sync transactions, choose how far back to bring in and send from. Click Start syncing.

You can also start from Finance → Tools. The entry reads Connect Xero or FreeAgent and opens the same tab.

At step 5 we suggest a Xero account (a FreeAgent category) for each Abodient label, such as Rent or Maintenance & repairs. Change any that are wrong, or choose Don't send. Three rows are your call: Company costs (no property), Tenancy deposits and Mortgage capital. Deposits are the tenant's money and mortgage capital pays off the loan, so neither is income or a cost.

Start syncing does not send or import anything. It lines up what is waiting and, if there is anything, opens the Sync window for you.

The Sync window

Click Review on the Sync with Xero card on the Integrations tab. If anything is waiting, your Inbox also shows a row such as "3 Xero transactions to review", with Review beside it. The row disappears when nothing is waiting.

The window has three sections:

Open a list and check each row. Click Confirm, or Confirm all to confirm every row that is filled in. The bin icon leaves a row out.

Some rows need an answer first. If a row says Might be the same as an entry already in Xero, choose It's the same payment, don't sync or It's different, sync it.

Done takes you back to the sections. It will not do that while a row is missing a property, an amount or a description, and it marks what is missing. Close the window and the unconfirmed rows wait for next time.

Click Sync at the foot when you are ready. It reads Sync 12 confirmed, with your own number.

What goes out

Rent and every cost you record go out. That includes a cost you split across several properties, a company cost that belongs to no property, and a building's job cost shared across its flats.

Everything is sent with no VAT, which is right for residential rent. Nothing already in Xero or FreeAgent is changed or deleted. The Not sent list shows what stayed behind and why.

Four things stay in Abodient:

After the first sync

New rent and costs you add in Abodient go out straight away. If you bring in as well, we check Xero every day for anything new and put it in the Sync window for you to confirm.

Inventory Hive

The same Integrations tab can also connect Inventory Hive. It brings your check-in and check-out inventory reports into Abodient and files each one against the right property (for a house let by the room, the right room). You need your own Inventory Hive subscription — they bill you directly — and Abodient only reads your reports, never changing anything in Inventory Hive.

If something's not right

Disconnecting

Settings → Integrations has Disconnect. Your Abodient figures stay exactly as they are; only the link stops.
